HOA Module

The HOA module adds property management capabilities to AMS for homeowner associations. It is only available when the organization's engine is set to HOA.

Properties and Units

Track every property and unit in your community:

  1. Navigate to HOA → Properties to view the property directory
  2. Click New Property to add a property
  3. Enter the address, lot number, and property details
  4. Add Units within a property (for multi-unit buildings like condos or townhomes)
  5. Link each unit to the homeowner's member profile

Violations

Manage covenant and rule violations:

  1. Navigate to HOA → Violations and click New Violation
  2. Select the property, violation type, and description
  3. Attach photos as evidence
  4. The violation enters a workflow — notice sent, cure period, hearing, fine

Violation Steps: Each violation progresses through defined steps:

Architectural Review

Handle modification requests from homeowners:

  1. Homeowner submits an Architectural Request through the portal
  2. Request includes description, plans/drawings, and estimated timeline
  3. Review committee evaluates the request
  4. Approve, deny, or request modifications
  5. Track the modification through completion

Amenity Booking

Manage shared community amenities:

  1. Navigate to HOA → Amenities to define bookable spaces (pool, clubhouse, tennis courts, etc.)
  2. Set availability windows, capacity, and booking rules
  3. Homeowners book through the member portal
  4. View the booking calendar in the admin interface

Maintenance Requests

Track community maintenance:

  1. Homeowners submit maintenance requests through the portal
  2. Staff triages and assigns requests
  3. Track status through Open → In Progress → Completed
  4. Record resolution notes and costs

Assessments

HOA assessments replace standard dues for billing:

  • Regular assessments — Monthly/quarterly HOA fees billed per unit
  • Special assessments — One-time levies for capital projects

ℹ️The HOA module replaces generic membership terminology with property-focused language throughout the platform. "Members" become "Homeowners," "Events" become "Meetings," and "Dues" become "Assessments."
