Document Signing
The Documents section consolidates three types of document interactions into one page: policies awaiting your signature, your signed document archive, and files shared by your MSP.
Documents Page — Three Tabs
Navigate to Documents in the sidebar to reach the three-tab view.
Tab 1: Needs Your Signature
Shows documents that require your action. A red badge on the tab indicates the count of pending items.
For each pending document you see:
- Document title
- Issuing party (your MSP's name, if set)
- How long it has been pending ("Issued 3 days ago")
- An Overdue badge in red if the signing deadline has passed
- A Review & Sign button
Click Review & Sign to start the signing workflow for that document.
Tab 2: Signed Documents
A searchable archive of every document you have previously signed.
For each signed document:
- Document title
- Version number (e.g., "v2")
- Date signed
- A download button (if a PDF was generated) — clicking it opens the signed PDF in a new tab
Use the search bar to filter by document title.
Tab 3: Files
Documents and files that your MSP has shared with your company — not requiring a signature, just for reference.
For each file:
- Title and description
- Category badge (e.g., "Policies", "Contracts")
- File name and size
- Date shared
- A download button — clicking it opens the file in a new tab
Files can be filtered by category using the dropdown.
Signing Workflow
The e-sign flow is a 3-step wizard: Read → Acknowledge → Confirm.
Step 1: Read
The full document is displayed in a scrollable view with all sections.
- If the document requires scroll-to-end, the Continue button is disabled until you scroll to the bottom. A yellow notice reads: "Please scroll to the bottom to continue."
- Once you have scrolled to the end (or if scroll-to-end is not required), click Continue.
Step 2: Acknowledge
Depending on the document type, you may need to:
- Check the acknowledgement checkbox — "I have read this document and understand its contents." (always required)
- Type your full name — Required for
acknowledgeandattestationtype documents. Your typed name becomes part of the signature record. - Answer attestation questions — For
attestationtype documents, you may be asked yes/no or short-answer questions (e.g., "Do you understand your data retention obligations?").
Click Continue when all required fields are complete.
Step 3: Confirm & Sign
A summary screen shows:
- Document name and version
- Your typed name (if provided)
- Legal notice: "By clicking Sign Document, you confirm that you have read this document and agree to its terms. This action is legally binding and will be recorded with your name, timestamp, and IP address."
Click Sign Document to complete the signature. If there is an error, a red error message appears.
Done
After signing:
- A green confirmation screen shows "Document Signed" with the exact timestamp
- A Download PDF link appears if a PDF receipt was generated
- The page automatically redirects to the Documents page after 3 seconds
- The signed document moves from "Needs Your Signature" to "Signed Documents"
Document signing is legally binding. Your name, timestamp, and IP address are recorded in the acknowledgement record. Ensure you have read the full document before confirming.
Acknowledgement Types
| Type | What It Requires |
|---|---|
view_only | Scroll through the document; no name or checkbox needed |
acknowledge | Checkbox confirmation + typed full name |
attestation | Checkbox + typed name + structured Q&A responses |
Downloading Signed Documents
- Go to the Signed Documents tab
- Find the document you want
- Click the download icon on the right
- The signed PDF opens in a new browser tab
PDFs are available only if the Portal's PDF generation service was active when you signed.
Document Types Your MSP May Send
- Acceptable Use Policy (AUP) — Rules for using IT systems
- Non-Disclosure Agreement (NDA) — Confidentiality terms
- Statement of Work (SOW) — Project scope and deliverables
- Service Agreement / Contract — Terms of service engagement
- Security Policy — Information security requirements
- Emergency Contact Authorization — Who can authorize work
Overdue Documents
If a document shows an Overdue badge, your MSP has flagged it as time-sensitive. Sign it as soon as possible. Overdue documents may block service delivery — check with your MSP if you have questions about the deadline.
