Voicemail

Every extension in The One Voice has its own voicemail box. Voicemail messages are stored, transcribed, and optionally forwarded to email.

Accessing Voicemail

Go to Voicemail in the left navigation. Messages are organized into three folders:

Search: Use the search bar to find voicemails by caller name, phone number, or transcription keyword.

Playing a Message

Click any voicemail to expand it. Controls:

  • Play — plays audio inline in the browser (no download required)
  • Transcript — the AI-generated transcription appears below the player
  • Callback — click to dial the caller back immediately via the softphone
  • Forward — sends the voicemail to another extension's inbox
  • Save / Trash — move to the Saved or Trash folder
  • Download — exports the audio file as MP3

Voicemail-to-Email

When configured, every new voicemail triggers an email to the extension owner containing:

  • Caller ID (name and number)
  • Call duration
  • AI transcription of the message
  • A playback link (expires in 7 days)
  • A direct callback link

To enable for an extension:

  1. Go to Extensions
  2. Click the Voicemail Settings gear icon next to the extension
  3. Toggle Email Notifications
  4. Enter the email address to notify
  5. Click Save

Voicemail Box Configuration

Each extension has its own voicemail configuration:

To configure:

  1. Go to Extensions
  2. Click the gear icon (Voicemail Settings) next to the extension
  3. Adjust settings and click Save

Retrieving Voicemail by Phone

  1. Dial your own extension from any phone
  2. During your greeting, press *
  3. Enter your PIN when prompted
  4. Follow the audio prompts: press 1 to listen, 3 to delete, 7 to save

Forwarding a Voicemail

  1. Open the voicemail
  2. Click Forward
  3. Select the destination extension from the dropdown
  4. (Optional) Record or type a short note to prepend
  5. Click Send

The recipient receives the forwarded voicemail in their Inbox with your extension noted as the sender.

Compliance and Retention

Voicemail retention follows the same compliance rules as call recordings. If your org has a compliance preset active (e.g., HIPAA, SEC, FCC), the minimum retention period overrides the per-extension auto-delete setting.
