Manually Logging Activities

To log a call, meeting, or note:

  1. Open a contact, company, or deal record
  2. Click Log Activity
  3. Select the type (Call, Meeting, Note, or Task)
  4. Fill in the details:
    • Calls: Subject, duration in minutes, description, outcome
    • Meetings: Subject, date/time, attendees, description
    • Notes: Content (supports pinning for important notes)
    • Tasks: Subject, due date, description
  5. Associate with a company, contact, opportunity, or lead (pre-filled from context)
  6. Click Save

The activity appears on the timelines of all associated records.

Activity Timelines

Activities appear on three types of timelines:

  • Contact timeline — All activities involving this specific contact
  • Company timeline — Aggregated activities from all contacts at this company
  • Deal timeline — Activities specifically related to this opportunity

Each timeline is chronological (newest first) and filterable by activity type.

💡Pin important notes to the top of a contact's timeline so your team sees critical context immediately — like "Decision maker, prefers email over phone" or "Budget approved for Q2."

Activity Log Filters

Filter activities by:

  • Type — Show only calls, only emails, only meetings, etc.
  • Date range — Activities within a specific period
  • Owner — Activities logged by a specific team member
  • Company — All activities for contacts at a specific company
  • Contact — Activities for a specific person

Activity Reports

Access activity reports from Sales > Activities or Reports:

By Rep

See each sales rep's activity volume:

  • Calls made, emails sent, meetings held
  • Tasks completed vs. overdue
  • Activity trend over time (daily, weekly, monthly)

By Company

Activity volume per company:

  • Total interactions this period
  • Last contact date
  • Most active contact at the company
  • Engagement trend

By Time Period

Aggregate activity across the team:

  • Daily/weekly/monthly totals by type
  • Compare periods (this month vs. last month)
  • Identify slow days or seasonal patterns

Activity Notifications and Reminders

CRM can notify you about activity-related events:

  • Task due date reminders — Notification when a task is approaching its due date
  • Follow-up reminders — Based on the "Next Action Date" field on deals and contacts
  • Stale deal alerts — When a deal has no activity for a configurable number of days

Configure notification preferences in Settings > Preferences.
